Sales Estates Executive.
Palm City Residences is a luxury residential village complex located on the Janzour coastline – Libya, comprising 413 residential units, apart from a supermarket, catering facilities, indoor and outdoor pools, health club, laundry and clinic. Operating since 2009, the complex has long been known as a primary expat hub in Tripoli, with a varied foreign resident portfolio.
The Sales Executive is responsible for the overall management of the lease agreements (including extensions and addendums) concluded with our clients, as well as input and maintaining of all contracts in the Palm City Residences ERP System (IBM Maximo) whilst ensuring that any expiring leases due for renewal are flagged, communicated and managed in a timely manner. The Contracts Executive will also be required to assist the Administration & Business Development Manager in receiving, processing and executing client enquiries for both long and short term lets as well as co-ordinating with Finance to ensure that active leases are being followed up on and invoiced by due date.
Qualification & Requirements :
The selected candidate must be a highly organized individual, meticulous to written detail, with the ability of good time management and workload prioritization. Very well presented, possessing a good business acumen, the successful candidate must demonstrate tact and courtesy when dealing with any client enquiries. A good communicator, the post holder should be technologically savvy, be familiar with legal jargon/contractual terms and have a very high level in both written as well as spoken English. Working after office hours may be regularly required. Previous related lease administration and/or property management experience should be well demonstrated. Working knowledge of Arabic is a plus but is not essential.
The Contracts Executive will have the following duties:
Assist in receiving, processing and executing client enquiries;
Meeting with clients and showing clients around the property as required;
Negotiate with clients basing on Management parameters;
Prepare and complete draft lease agreements, amendments and addendums according to agreed terms with client;
Monitor progress of lease agreements and renewals through the approval processes;
Input, maintain and manage lease agreements in the ERP System;
Organize, index and maintain original copies of lease contracts;
Assist in management of short-let leases;
Liaise with Finance to ensure invoices are issued against executed contracts;
Assist the Administration & Business Development Manager in the running of the department;
Liaison with the Palm City management team as appropriate;
Perform other responsibilities as assigned by Management;
Marketing & Graphic Designer.

Excellent graphic design skills and own graphic design programs
Digital Marketing qualification or sufficient experience in the successful management of multiple digital channels and community management.
Deliver intelligent digital campaigns, blogs, advertising and strategies.
Facebook, Instagram, Twitter, LinkedIn, YouTube etc. Google Analytics, Data Studio and other related social analytics tools
Experience in reservations and travel bookings (flights, transfers and accommodation)
Content Admin and Media Planning: Manage the content plan, booking calendar and scheduling/posting of content for the department across all digital platforms
Co-ordinate, administrate and report on all marketing activity
Communicate with suppliers, co-ordinate and assist with digital advertising campaign planning, competitions, and other associated tasks
Ensure all artwork and administrative processes have been executed on time and cross-functional team approvals received
Assist where required in checking and ensuring all content is loaded timeously and accurately
Email: Setup, schedule and send emailers weekly, pull databases, manage mailboxes, send internal marketing releases, setup URL trackers and reporting,
as well as overall involvement in the ongoing development and implementation of the email marketing strategy
Community Management: Setup, schedule and publish content to social media accounts, engage with community and respond to inquiries to agreed standards
Review and report as per briefed campaign requirements
Reporting: Prepare campaign reports for marketing team leads and suppliers across platforms using google analytics, google data studio and MicroStrategy accurately and timeously
Maintain historical overview and analytics reporting on platform performance and where required conduct and present research into competitor platform performance
Strong written and verbal communication abilities in English and Afrikaans
Proficient with MS Outlook, Word, Excel and PowerPoint.
Must be adventurous and have a good knowledge and passion for wildlife and conservation.
Ability to research events and create marketing around it (various locations)

Ability to work independently, as well as in a team.
Answering of telephone, bookings enquiries, emails or other forms of bookings
Invoicing and follow up
Ensure that deposits for bookings are paid
Exhibiting loyalty and commitment to clients and striving for excellence.
Work closely with our current booking agents and managers.
Undertake and complete any special projects or related tasks as and when required by the Reservations Manager or the Director of Sales and Marketing.
PA to CEO:
Any adhoc administrative tasks
Code 8 Driver’s Licence and own reliable vehicle
Drive children to and from school and activities.
Available to stay with children if and when CEO needs to travel.
Available to travel with family from time to time.
Prepared to relocate to White River.
